Create Tasks on Projects via Zapier

Create a task list on a project using a process template using Zapier

Oftentimes, you will want to use Zapier to automatically use one of your process templates to create a list of tasks on a project in ProcessKit.

Here's how to do that:

  1. Have the Zap create a project or find an existing project
  2. Add a step to the Zap to "Create a Task List from a Process Template"
  3. In that step, Access the Project ID from that project that was created or found.
  4. Select the process template you wish to use as the basis for the new task list and tasks that will be created on this project.

Create an empty task List on a project using Zapier

Sometimes, instead of using a process template for a list of tasks, you want to use Zapier to simply create a one-off set of tasks on a project, or perhaps just a single task.

All tasks must belong to a task list, so you can use this action to create a new empty task list in the project:

  1. Have the Zap create a project or find an existing project
  2. Add a step to the Zap to "Create an empty task list"
  3. In that step, Access the Project ID from that project that was created or found.
  4. Enter the name for this task list

Note:  You will create the action task(s) to go in this task list in a future step in your Zap (see below).

Create a task on a project using Zapier

You can use Zapier to create and insert a new task in any task list that exists on a project.  It doesn't matter whether a task list was initially created from a process template, or if it was created from an empty task list.

To create a new task:

  1. Have the Zap create a project or find an existing project
  2. Add a step that would generate a task list on the project.  Either "create a task list from a process template" or "create an empty task list".
  3. Add a step to "Create a Task".
  4. In that step, Access the Project ID from that project that was created or found.
  5. Just like you accessed the Project ID, you will also need to access the Task List ID from a previous step (the create task list step).
  6. Enter the title for the new task (required)
  7. Fill in any optional fields on the new task (description, start date, due date).

Note:  By default, a new task will be added to the bottom-most position in a task list.  If you want to insert the task in a different position, specify that number in the "Position" field.  For example, if you enter "3", then this new task will be inserted as the 3rd task in the task list, and will push down the other tasks.
